  • Negotiate contract changes (we’ll prepare addenda and obtain signatures).

  • Communicate contingency removals to clients (we’ll send deadline reminders).

  • Remove lockboxes, signs, and fliers, or we’ll coordinate with third-party vendors for removal.

A Transaction Coordinator handles the administrative duties of a real estate transaction. We manage paperwork from contract acceptance through to closing, ensuring compliance, tracking deadlines, and streamlining the process.

How will you keep me updated?

Before we start, we’ll discuss your preferred communication method. We provide weekly email updates on the status of your files, including any outstanding tasks or requirements.

How can you help me scale my business?

By managing the time-consuming paperwork of real estate transactions, we free you up to focus on high-value tasks like nurturing client relationships and securing new deals, maximizing your productivity.

What happens if a transaction doesn’t close?

We only get paid when you do. If a deal falls through, our services up to that point are free, and we’ll handle preparing and obtaining signatures for releases, cancellations, and escrow return submissions.

Can you communicate directly with my clients?

Direct communication with clients saves you the most time and is our preferred approach. However, we can route all communication through you if desired. We always keep you informed of key updates and deadlines, and you’ll be copied on all client correspondence.

Why choose a Transaction Coordinator over a full-time or part-time assistant?

A Transaction Coordinator offers a cost-effective alternative to hiring a permanent employee. We charge per file, eliminating overhead costs like payroll or benefits. You can use our services selectively, only for transactions you need assistance with, and we’re fully trained from the start. Many agents pair our services with their staff to free up time for marketing and client acquisition.

How is payment handled?

We issue an invoice after closing, payable by check or digital payment platforms. If your brokerage permits, we can include our fee in the HUD for payment at closing.

Can you draft offers or listing agreements?

As licensed professionals in Florida, we can prepare offers and listing agreements as an additional service, not included in our standard Transaction Coordinator package.
